FAQ
Straight answers.
The questions growing teams ask before they work with us — answered without the hedging.
The work
What exactly does Jidoka Group do?
We build the operational infrastructure growing businesses need to scale — automated workflows, AI-assisted processes, internal tools, and documented systems. We're not a software platform, a consultancy, or a generic automation agency. We diagnose the bottleneck, design the system, build it in the tools you already use, and hand it off documented.
How are you different from an automation agency or a consultant?
We do both diagnosis and building in one engagement — no gap between the strategy and the system that delivers it. Full breakdown of what that looks like is on the Services page.
We've tried automation tools like Zapier before and it didn't stick. Why is this different?
A tool won't fix a process problem. Most automation fails because it's bolted onto a broken workflow. We map and simplify the process first, then build the automation around it — and we document it so it survives turnover and keeps working as you grow.
We don't know what we should automate. Is that a problem?
That's exactly what the diagnosis is for. Most teams don't need the answer up front — they need someone to map their workflows, find the highest-cost bottlenecks, and recommend what to build first. That's where every engagement starts.
AI & your team
Will this replace people on my team?
No. The Jidoka principle is automation with a human touch. We automate the repetitive and predictable, and keep a human in the decision chain wherever context, judgment, or consequences matter. The goal is to free your team for the work only people can do — not to remove them.
Is this just AI hype?
We treat AI as a practical system component with defined roles, not magic. We deploy AI agents for specific functions — intake, routing, drafting, review — with human checkpoints, and only where they produce a real operational outcome. If a problem doesn't need AI, we don't use it.
How is this different from just hiring someone?
A new hire adds capacity but also adds another process that depends on a person. We build systems that don't depend on any single individual — so growth doesn't mean a hire for every new bottleneck, and a sick day or a departure doesn't break your operation.
Logistics, trust & cost
Do we have to switch tools or platforms?
No. We build in the stack you already use. Part of our work is connecting your existing tools and closing the gaps between them — not adding another platform your team has to learn.
How long does an engagement take?
It depends on scope, but engagements are structured and time-boxed — not open-ended retainers. A typical first build moves from discovery to a working system in a matter of weeks. We scope the timeline before we start, so you know what you're getting and when.
What does it cost?
Pricing is scoped to the engagement — the systems you need and the outcome you're after, not hours billed. Every engagement starts with an operational diagnostic so we can recommend the highest-leverage work first. Reach out and we'll walk you through it.
Will we end up dependent on you?
The opposite. We document everything and hand off systems your team can run, maintain, and extend without us. Our goal is to make ourselves unnecessary as fast as possible.
Is our data safe?
Security and reliability are built into how we work. We design systems with proper access controls, oversight, and transparency about who's responsible for what — and we explain what we build in plain language and document it, so nothing about your operation is a black box.
How do we get started?
Start with the free operational diagnostic. It maps your bottlenecks and shows the highest-leverage system to build first — about 8 minutes, no credit card.
Still have a question?
The fastest way to get a specific answer is the free operational diagnostic. We'll map your bottlenecks and show you what to build first.
